I am hosting 6 Japanese business executives for a meeting and dinner afterwards. I am coordinating the agenda with someone with the exact title, role, and roughly age as me, so I always use -san when communicating with him. His managing director, COO, and CEO will join us for the meeting, so I want to make sure it is approprate for me to use -sama after their names on the agenda and in email greetings.
