Confusion About Visa Renewal Documents

To start, I want to give the context that I recently changed jobs at the beginning of the month. (Yes, I’ve notified immigration.) My new company is the Japan office of a foreign capital company and when it comes to the process of renewing my visa, while they haven’t been uncooperative, I’ve pretty much been told to just tell them what I need and they’ll get it.

I’m running into a bit of confusion that I think might just be misunderstandings due to the fact that all of the HR/Finance employees are located outside of Japan and don’t speak/read Japanese. Perhaps my understanding is not the best, so I was hoping to get a better understanding of what I need from people smarter than me. 🙂

Regarding the “前年分の職員の給与所得の源泉徴収票等の法定調書合計表,” I was told that they would be unable to provide this because I had just joined the company and therefore there are no withholding tax certificates for 2023. Shouldn’t this be a document regarding the company’s withholdings for all employees of the company, not my own?

There’s also a requirement for “在留申請オンラインシステムに係る利用申出の承認を受けていることを証明する文書” and I’m not sure what online system this is referring to and therefore I’m unsure where to direct HR/Payroll to.

I realize that there probably aren’t many HR/Finance professionals here, but if anyone has any info that could help me sleep at night instead of worrying about this, I’d greatly appreciate it.

  1. I’m renewing as well but my company is providing all the required documents.

    It might suck , but I think it’s best to just take a half day off, go to immigration and ask wat ya need. They will give ya a list of the exact documents required.

  2. It sounds like you need **your** tax payment record. You can you your own tax payment records for the previous years using conbini copy machines if you have the plastic my number card.

    The online system is for companies who have signed up to use it, I believe. You can do it all on paper.
