University; normal procedures for private information?

Recently my Uni wants me to upload both an image of my Residence Card and my home country’s passport using Google Form. I have no problem with doing this, but I was just wondering if anyone else’s University uses Google Form? Perhaps this is a question for another channel, but how secure is Google Form, especially with sensitive information as a passport?

Last time they wanted everyone to input their SSN into Google Form, I ended up not doing that, cause of my concerns of security.

  1. Maybe they have an institution-wide Google Workspace account? Probably more secure than their local servers. If it’s just some random office/admin worker and their own personal Google account, probably not.

  2. Google is unlikely to be compromised. Whether the person handling your data via Google does due diligence to preserve your info is another matter though.

    You can ask the reason why they need your SSN, but they would need it if they are opening a bank account for you. If you don’t feel comfortable with that, you can ask to open an account by yourself. Other than that, there would be no reason for them to have your SSN.
